Incident response. What happens when something goes wrong? If confidential data is accidentally fed into an unapproved tool, who do employees report it to? What steps does the company take? Having this process defined before you need it is infinitely better than scrambling after a breach.
How to Build One Without Losing Your Mind
You don't need a legal team or a six-month committee process. Here's a practical approach:
Start with a conversation. Talk to your team. Find out what AI tools they're already using, what they're using them for, and what problems they're trying to solve. This gives you a realistic picture instead of a theoretical one.
Keep it short. Aim for 2-3 pages. If your policy is too long, nobody reads it. Cover the essentials: approved tools, data rules, review requirements, and who to contact with questions.
Make it living. AI changes fast. Your policy should be reviewed quarterly — not annually. New tools emerge, regulations shift, and your business needs evolve. Build in a review cycle from day one.
Get buy-in, not just compliance. Explain the why behind each rule. Employees who understand why certain data shouldn't go into free AI tools are more likely to follow the policy than employees who just see a list of restrictions.
Test it. Before rolling it out company-wide, run it past 2-3 team members. Ask them if it's clear, if anything seems unreasonable, and if they have questions it doesn't answer. Fix the gaps before launch.
